A physiotherapy website has one job most of the week: let someone with a sore back find you, see that you treat that complaint, and get an appointment without phoning during your treatment hours. What a physiotherapy website needs

Physiotherapy is directly accessible in the Netherlands. Nobody needs a referral from a GP first, so that decision gets made at the end of an evening, by someone whose knee hurt all day. What they want to know is always the same: do you treat this, is there room this week, and what it costs if their insurance does not cover it. Four things carry that:

  • a page for each complaint you treat, back, knee, shoulder, pelvic floor, and both languages where your patients read English too
  • your BIG registration on the page about you, with any entry for manual, sports or pelvic physiotherapy
  • your rate per session and per intake, written down, since what they get back depends on their own policy
  • a booking step that runs while you are in a treatment room

An exercise library and a news page can come later. Ask ChatGPT, Claude, Perplexity or Google for a physiotherapist in your town and the four things above are what they go looking for.

Online booking for a physiotherapy practice

A physiotherapy diary has a rhythm of its own. An intake runs longer than the sessions that follow it, a practice with three therapists has three sets of hours, and a home visit costs you the travel too. Most practices hold that in the phone, the desk diary and WhatsApp. Posato lets you build all of that in:

  • a longer first appointment with its own length, price and hours, next to shorter follow-up sessions
  • hours you open per weekday, different per service, so the early slots before work are follow-ups only
  • a buffer after every treatment, for writing notes, or for the drive to a home visit
  • staff assigned per service, so someone booking manual therapy lands with the therapist who does it
  • a booking window, so nobody takes a slot three months out

Nothing is offered that you did not open. When the booking comes in, it is already in your back office and already in the schedule, and the confirmation email goes out without you touching it.

Taking payment for a session, or approving the appointment first

A returning patient who knows the drill can pay at booking. A new one you may want to look at first, to check the complaint is yours to treat and the first appointment is long enough. The two cards show what each means.

Settled before the patient arrives

Stripe takes the money at the moment of booking and the slot is held from then on. The payment and the appointment sit together in one record, and if you have to cancel, all or part of it goes back from that same record. Our 5% is taken from that payment.

You say yes before the slot is taken

The patient picks a time and the slot is held until you agree to it. Useful for a first appointment, where you want to read the complaint before you commit half an hour to it, or where one therapist is the only person who treats it. No card comes into it. You confirm, or you come back with another time.

What a physiotherapy website costs with Posato

Questions physiotherapists ask before switching

Can each therapist in the practice have their own hours?

Yes. You assign staff to a service, and each service carries its own hours per weekday. A manual therapist who is in on Tuesday and Thursday gets a service with only those two days open, so that treatment is offered on no other day.

A patient needs six sessions over six weeks. Can they book the series at once?

No. Every appointment stands alone. What happens in practice is that you rebook the next one from the back office while the patient is still putting their shoes on, or they pick a slot themselves that evening.

Does this replace the practice software my records live in?

No. It is the front door on your website. A booking arrives in your back office with the details the patient filled in, and the file itself stays wherever you keep it now.

A patient calls off twenty minutes before the session. Who keeps the money?

You set the cancellation policy: how late someone can call off, what it costs after that, and a short grace period right after booking in which cancelling is free. Money for a session paid at booking is sitting in your own Stripe account, so refunding all or part is one screen.
